As an Executive Administrative Assistant, you will:

Provide comprehensive administrative support to the Site Manager Orange/Sarnia, Head of Global OPEX, and Human Resources assuring confidentiality in all aspects.

 

Duties include, but not limited to:

  • Schedule and organize meetings and team activities; prepare meeting agendas and minutes.  . 
    • Arrange logistics provisions including location, essential supplies, meals, refreshments, etc.
    • Organize meetings, dinners, team buildings and other events hosted by the Site Manager Orange/Sarnia within budget guidelines.
    • Will also participate in meetings as required
  • Work independently and/or within a team on special and/or nonrecurring projects.  Includes planning, scheduling and execution of activities including location, transportation, entertainment, food, set-up and cleanup activities. Develop contacts with area businesses and use their expertise when participating in the planning of meetings, dinners and other activities.
  • Administrative Support to Site Management and Human Resources and Head of Global OPEX.
    • Organize and prioritize large volumes of information.  Arrange visitor itineraries, lodging and travel revision as required.  Dissemination of confidential and non-routine information.  Maintain Site Manager’s calendar and schedule appointments.  Screen incoming calls and correspondence.  Create presentations, spreadsheets, databases, memos, charts, tables, graphs and other general business correspondence as required.  Reconciliation of accounting, purchasing requisitions, expense reports, corporate credit card accounts other organizational processes as required.  Order and maintain office supplies to support office and nearby conference rooms within the Site Management budget. Maintain personnel files and assist with HR related activities as needed.
    • Screen calls and correspondence and respond independently when possible.  Exercise prudence and judgment, time management, monitor e-mail, prioritize and process requests and address issues as needed especially during plant manager’s absence.
  • Logistics support for the Incident Command Center
    • Execute SMT evacuation plans, including securing evacuation routes and lodging.  Provide logistic provisions critical to the ICC operations including communications tools, necessary supplies, meals/refreshments as required, command center set-up, clean-up and other details as assigned to meet command center needs. 

 

In order to accomplish this you will possess:

  • Minimum of an Associates Degree in a Business-related concentration. Related experience can be considered in lieu of education.
  • Minimum of 5 years of upper level management Administrative Assistant experience required.
  • Previous administrative plant experience is essential
  • High level of proficiency in personal computers including Microsoft Office
  • Excellent written and verbal communication skills
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations and information, and is able to have professional, competent and positive interactions with corporate executives, international executives and visitors, plant employees, customers, visitors and members of the Orange community
  • Ability to prioritize work assignments, work in fast-paced environment, and manage multiple and competing tasks and demands. Organization, time-management skills are essential.
  • Ability to work in an environment that receives limited routine supervision and relies on experience, education and good judgment in making decisions.
